Zetta recognises that your personal information and your privacy matter. This page explains what we collect when you use zetta.com.au or our services, how we use and protect it, and the choices you have.

About this policy
This policy applies to personal information we collect from visitors to zetta.com.au and from the people and organisations we provide services to, or propose to provide services to. It covers the information you give us directly — such as through a contact form, a request for a quote or assessment, an email or a phone call — as well as information we collect automatically when you use our website. We manage personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What information we collect
We only collect the personal information we need to respond to you, deliver and manage our services, and meet our legal obligations. The amount and type depends on how you interact with us.
Information you give us
When you complete a form on our website, request a quote or technical assessment, email us, or call us, we may collect your name, business or company name, email address, phone number, and anything else you choose to include in your message. If you go on to become a client, we may also collect account, billing and service contact details.
Information we collect automatically
When you use zetta.com.au, we collect limited technical information through cookies and analytics tools — such as the pages you visit, your approximate location, your browser and device type, and the website that referred you. We use this to understand how people use the site and to improve it.
Information from other sources
Occasionally we receive personal information indirectly — for example, when someone refers you to us, or from publicly available sources such as a professional profile on LinkedIn. We only collect this where it is reasonably necessary for the purpose of working with you.
How and why we use it
We use the personal information you give us for the purpose you provided it, and for closely related purposes. That includes to:
- respond to your enquiry and stay in touch about it
- prepare quotes, proposals and assessments, and deliver and manage the services you engage us for
- manage your account, including billing, where you are a client
- let you know about important things that may affect you — such as changes to our terms, or planned maintenance or changes to your environment
- tell you about products or services that may be relevant to you, where it is appropriate to do so (you can opt out at any time)
- improve our website and services, and meet our legal and regulatory obligations
If we ever want to use your information for a purpose that is not related to the one you gave it to us for, we will ask for your consent first.
Cookies and website analytics
Our website may use cookies — small text files placed on your device — to remember your preferences and help the site work properly. You can refuse cookies through your browser settings, but please note that some parts of the site may not work as well if you do.
We also use reporting and analytics tools to understand website traffic and how our pages are used. By using our website, you consent to the tools we use collecting this data. You can opt out by disabling or refusing cookies, disabling JavaScript, or using any opt-out service the relevant tool provides.

Call recording
We are committed to giving our customers the best possible experience. To support that, we may record telephone conversations with our service desk. We use these recordings to:
- train our team and improve the consistency and accuracy of our service
- identify ways to improve and simplify the services we provide
- keep an accurate record and supporting evidence in the event of a dispute or complaint
We use recordings only for the purposes above. We store them securely for no more than 18 months, then permanently destroy them.
Authorised contacts
When you contact us about your account, services or technical support, we will first check that you are a nominated authorised contact for the account. We will only discuss account information with someone who has been nominated in this way.
If someone acting on your behalf is not a nominated authorised contact, we will ask for written confirmation from the account owner before we discuss the account. Payment card information
The Payment Card Industry (PCI) sets the standards for how providers handle and protect payment card information. We meet these standards and protect your card details in a number of ways:
- where payment details are stored, we record no more than the first 6 and last 4 digits of your card number — the full number is held securely by our bank, which gives us a token used to process payments
- if you give card details over the phone, we pause the call recording while you do so
Sharing your information
We do not sell your personal information. We share it only where it is needed to run our business and deliver our services, including with:
- service providers who help us operate — for example our website hosting, cloud, email, customer relationship management (CRM) and analytics providers — who must protect your information and use it only for the services they provide to us
- our professional advisers, such as accountants, auditors and lawyers
- government agencies, regulators, courts or law enforcement, where the law requires or authorises us to
- another party in connection with a sale, merger or transfer of our business
Some of our service providers may store information outside Australia, including through cloud services. Where that happens, we take reasonable steps to make sure your information remains appropriately protected.
How we store and protect it
We take all reasonable steps to keep your personal information secure, including restricting access to those who need it and applying appropriate technical and organisational controls. As an ISO 9001 and ISO 27001 certified business, security and information management are built into how we work.
No method of transmitting information over the internet is completely secure, and we cannot guarantee the security of data you send to us online — including through our website forms. You provide that information to us over the internet at your own risk.
How long we keep it
We keep personal information only for as long as we need it for the purposes set out in this policy, or for as long as the law requires us to keep it. When we no longer need it, we take reasonable steps to destroy it or permanently de-identify it. As noted above, we keep call recordings for no more than 18 months.
Accessing and correcting your information
You can ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact us using the details below. We will need to verify your identity, and we will respond within a reasonable time. If we are unable to give you access or make a correction, we will let you know why.
Data breaches
We take the security of your information seriously. Under the Notifiable Data Breaches scheme in the Privacy Act 1988 (Cth), if we have reasonable grounds to believe an eligible data breach has occurred — one that is likely to result in serious harm — we will act quickly to contain and assess it, and we will notify the people affected and the Office of the Australian Information Commissioner (OAIC) as the law requires.
Marketing and your choices
If we send you marketing communications, we will keep them relevant, and every message will include a simple way to unsubscribe. You can opt out of marketing at any time by using that link or by contacting us directly. Opting out of marketing will not affect the service messages we need to send you, such as account or support updates.
Links to other websites
Our website may contain links to other websites. We are not responsible for the privacy practices of those sites, so when you follow a link away from zetta.com.au, we encourage you to read the privacy policy of the site you are visiting.
Changes to this policy
We may update this policy from time to time. When we do, we will post the updated version on this page and change the “last updated” date at the top. We encourage you to check back occasionally.
