Microsoft 365 for small business: what it is and how your team uses it

Most Perth small businesses pay for Microsoft 365 every month and use a fraction of it, usually because nobody owns the setup. Here’s what’s in the subscription in plain English, and how the Zetta Essentials team looks after it for you.

THE BASICS

What is Microsoft 365, in plain English?

Microsoft 365 is a monthly subscription, paid per person, that bundles the tools most offices already use: business email, the Word, Excel and PowerPoint apps, Teams for chat, meetings and calls, and OneDrive and SharePoint for your files. It runs in Microsoft’s cloud, so it’s a service your business rents rather than software you install once and forget.

There’s using Microsoft 365, and there’s managing it. Your team opens Outlook and Teams. Someone else decides who gets access, keeps it secure and up to date, sets up new starters, removes leavers and keeps it tidy. In a small business that someone is usually the owner or the office manager, by default.

Office 365 is the old name. Microsoft renamed it Microsoft 365 and added more to the business plans, as the FAQ below explains.

WHAT'S IN THE SUBSCRIPTION

What's in your Microsoft 365 subscription

Outlook

Email and calendars

Business email on your own domain, shared calendars and group addresses, on any device.

Teams

Chat, meetings and calls

Staff chat, video meetings, guest access for clients and contractors, and phone calls through Teams if you want them.

SharePoint

Shared files

Your team’s shared filing cabinet, organised by project or department, with control over who sees what.

OneDrive

Personal files

Each person’s own storage, kept in the cloud and reachable from any device.

Office apps

Word, Excel, PowerPoint

The everyday apps, with co-authoring so two people can work on one document at once. Which versions you get depends on your plan.

Entra ID

Sign-in and protection

Entra ID decides who can sign in and from where. Defender is Microsoft’s built-in protection against viruses and phishing.

Microsoft 365 licences are billed by Microsoft, separately from your Zetta Essentials fee. We help you pick the plan that fits how your team works.

DAY TO DAY

How Perth small businesses use Microsoft 365 day to day

1

The owner-operator

Customer files live in shared folders, not in someone’s inbox. Email works the same on your phone and your laptop. When a new starter walks in, their laptop, email and Teams are ready on day one, so they’re working by morning tea.

2

The operations or finance manager

Finance and HR files are visible only to the people who need them. Your external accountant and contractors get guest access without seeing everything else, and a leaver’s access is removed the same day.

3

Working away from the office

Staff on site, at home or travelling sign in securely from any device. Two-step sign-in does the heavy lifting, so a stolen password on its own isn’t enough to get in.

4

The phone on the desk

Some businesses now take calls through Teams and retire the desk phone. At a much larger scale, an Australian university moved its phone system into Teams with Zetta. The same idea works for a small team.

WHAT ZETTA ESSENTIALS DOES

Four ways we keep Microsoft 365 working for your team

Keep You Connected

Teams channels and shared folders pile up until nobody can find anything. We administer Teams, SharePoint and Exchange so your team works together without friction, with a quarterly check to keep it tidy.

Keep You Secure

Email is how most small businesses get attacked, and leavers’ accounts are open doors. Two-step sign-in enforced, email protection set up, 24/7 monitoring behind it, and access removed the day someone leaves.

Keep You Supported

One number and a local Perth team, with help on Microsoft 365 apps in business hours and a 30-minute response on critical issues.

Keep You Informed

A quarterly business review covering performance and spend in plain English, so you know whether you’re paying for the right licences.

WHAT'S INCLUDED

What's included when we manage Microsoft 365

Email

Exchange, spam and domain protection

Mailboxes and group addresses managed as your team changes. Spam and phishing filtered before it lands, and your domain protected so criminals can’t send email that looks like it came from you.

Teams

Set up properly, checked quarterly

Teams kept tidy, not a maze of unused channels. Guest access set up for clients and contractors, and a health check every quarter.

Files

SharePoint and OneDrive

Shared sites and personal storage managed, permissions reviewed and storage watched. Important if you hold confidential client files.

Identity

The right people in, former staff out

Two-step sign-in enforced, new starters set up, leavers removed the same day, and a monthly check that only current staff have access.

Backup

Kept and recoverable

Emails and files kept under your retention rules instead of lost when someone leaves, with backups monitored daily and a recovery test each year.

Service desk

Help from a local team

Password resets, Outlook and Teams problems and everyday questions sorted in Perth business hours, mostly remotely.

In legal, accounting or healthcare? We also help you work towards Essential Eight compliance. Microsoft 365 is one part of Zetta Essentials: see everything that’s covered.

CHOOSING A PLAN

Which Microsoft 365 plan does a small business need?

Most small businesses need Business Standard. Choose Business Premium when security and device control matter. Business plans suit organisations of up to 300 people. Microsoft sets the price and bills licences separately from your Zetta Essentials fee, and we’ll help you pick the plan that fits, so you don’t pay for more than you use.

SERVICE LEVEL AGREEMENT

When something stops working, someone picks up

A locked-out mailbox or a Teams outage in the middle of a client day is critical, and we treat it that way: a 30-minute response. The service desk runs in Perth business hours, and 24×7 security monitoring keeps working outside them.

MICROSOFT 365 IN PRACTICE

An Australian university moved off an ageing PABX phone system and into Microsoft Teams Phone. Staff take calls from anywhere in Teams, the PABX and its licensing are gone, and IT manages telephony remotely. The same technology, at a much larger scale.

GOT QUESTIONS

Microsoft 365 questions, answered

Business email, Teams, SharePoint, OneDrive and the Word, Excel and PowerPoint apps, with the exact mix depending on your plan. The business plans also include sign-in protection through Entra ID, and the higher plans add more security and device management.

Microsoft 365 is the newer name and the bigger package. Office 365 covered email and the office apps. Microsoft 365 keeps those and adds security and device management on the business plans.

Most small businesses start with Business Standard, and move to Business Premium when security and device control matter. Business Basic suits teams that work in the browser, and Apps for business suits teams with email elsewhere.

The management of it is. Microsoft 365 licences are billed separately by Microsoft, and projects such as a migration are scoped separately, so the cost is clear before anything starts.

Microsoft keeps the service running, but it doesn’t guarantee you can get back something deleted by mistake or by someone who has left. We keep your emails and files under your retention rules, monitor backups daily and test a recovery each year.

Yes. Migrations are scoped as a project, so the cost is clear upfront and your team keeps working while we move you across. Start with a free IT health check.

It can be, when it’s configured properly. Two-step sign-in, email protection and monitoring make the difference, and those settings aren’t all switched on by default.
